  1. Login with username and password.
  2. Under the Content menu, choose Bibliography: References: Add Reference.

  1. To enter a record manually (most common), choose the Reference Type* to open a blank record with relevant fields for the selected Reference Type. This action automatically opens a new Create bibliographic record overlay interface. If you need to change the reference type, click on Convert Bundle.
    1. Some fields are required and noted by an asterisk.

  1. Once you have entered your data, go to the lower left of the entry/editing interface and choose Save.

Entering Data: Required Fields

Use the vertical tabs listed below the reference type to navigate and enter additional data about the Author (i.e., Contributors), Abstract, Publication, Publisher, Identifiers, Locators, Keywords, Notes, Alternate Titles and Other. The available fields are based on the chosen Reference type*.

Always choose Save (bottom left) to record your data (or revisions) and to close the editing overlay. If you choose Preview, remember to Save after viewing the Preview (Preview does not Save data). If you choose not to Save an entry or revisions, click Back to site.

Fields

Abstract

Enter the abstract. Use the Full HTML Text Format to get the appropriate options for a bulleted list and numbered list, etc. If you pasted content from another source, highlight the text and use the Remove Format icon to remove any extra code that is not appropriate for the website.

Publication:

Year of Publication*, Secondary Title, Volume/Edition, Pagination, Date Published… and more!

Publication fields vary according to the Reference type*. Year for Search* is required. The site’s Search feature utilizes this Year field for chronological listings of Titles. Only one four-digit year may be entered.

Tip: Be consistent with managing titles with a “range” of possible publication years. Choose either the earliest known date or the latest known for consistency throughout your database. For instance, a journal published Winter 1999/2000 would be entered once as 1999 in Year of Publication.

Other entry fields that may be found in the Publication tab based on the chosen Reference type*:

  • Secondary Title
  • Volume
  • Issue
  • Number of Volumes
  • Edition
  • Section
  • Number
  • Series Volume
  • Pagination
  • Date Published (for more/less precise dates)
  • Type of Work
  • Publication Language
  • Reprint Edition

⚠ Leave the field blank if it does not apply to the title.

Publisher:

Publisher and Location of Publisher

Enter the first known/primary Publisher and Place Published. If the Title has more than one publisher (e.g., in the case of reprints), Additional Publishers may be recorded at Notes > Additional Publishers. Depending on the Reference Type, this field may be required.

Identifiers

Any ISBN, ISSN, Accession Number, Call Number, Other Numbers or PMID affiliated with the Title.

Locators

URL and DOI (digital object identifier) of the Title. When entering the DOI, be sure to only include the prefix and suffix.

Keywords

The Keywords field can be used for additional classifications or identifiers (e.g., author nationality, genre). The auto-fill feature when entering data will help keep the Keywords entries consistent. You can add more than one keyword (or phrase) per Title by separating each keyword (or phrase) with a semicolon or comma if the semicolon does not work. If you need to edit a keyword, access the keyword via the keywords list and edit it there. 

Notes, Alternate Titles, and Other vertical tabs

Dynamic fields, according to the chosen Reference type*, may include:

  • Note
  • Short Title
  • Alternate Title
  • Translated Title
  • Original Publication
  • Holding Institution
  • Author Address
  • Label
  • Access Date
  • Refereed Designation

Fields can be customized, to a certain extent, to suit the bibliographer needs. Consult your Open Publishing support team for guidance, more information, or technical support.

Authors: Name, Category, and Role

Although called “authors,” contributors would be a better title. Editors, translators, and other contributor names are recorded in this section.

  1. Enter the contributor in the Name field
    1. Tip: Entering names as "first-name last-name" format works best within this system — for instance, “Timothy Barkham” instead of “Barkham, Timothy”
    2. How you enter the name here is how it will display in the Fixed Name Field in the contributors editing overlay. This is used to store a fixed name for use with Do Not Reformat. The fixed name field is for when you have contributors like corporate names, partial names, or names that use the Do Not Reformat option, so they display exactly as it is in the fixed name field.
    3. If you are adding an entry to the site by an author already added in the database, start typing their last name and wait for a few seconds for options to populate and then select the correct version of their name.
  2. Select the contributor’s Category.
  3. Select the Role
  4. (optional) To add another contributor, choose Add another item to show a new data entry row. Repeat steps 1 through 4 until each contributor is entered for the title.
  5. (optional) To delete a contributor, click remove.
  6. Once a contributor’s name is saved, it will appear in the Authors list. See Navigation: Contributors. There is a search box on this page to allow you to easily find the contributor.

Revising an Entry

To revise an existing entry, login and find the bibliographic entry in the list (or search for it). Click the Title link to get to the Details page, then choose the Edit tab under the title. Revise your entry in the edit interface. Remember to Save your revisions.
